Updating User Profile, Company Details, and Notification Preferences

This guide walks you through on how to update your personal profile details, edit your company information, and customize your system and AI assistant preferences within CyberPass for a personalized experience.

Prerequisites

  • Active CyberPass account.

  • Access to the Profile section via the CyberPass homepage sidebar.

  • Required details for updates (e.g., new contact info, company logo, documents).

Step 1 — Accessing Your Profile

Purpose: To locate the central hub for managing all your personal, company, and preferences settings.

From the main CyberPass sidebar, click on the "Profile" in the bottom left of the page. This will open the Profile page, defaulting to the User tab.

Step 2 — Updating Personal Details

Purpose: To ensure your profile contains a minimum of accurate information (such as Avatar, Name, Email, etc.) so colleagues and partners can easily identify and contact you, facilitating efficient communication and external collaboration, and streamlining support request routing.

In the User Details panel, click the pencil icon on the top right to enable editing. You can update the following:

  • Avatar: Click the current avatar image to upload a new one.

  • Full name, Email, Phone, Address: Edit the fields as necessary.

Step 3 — Editing Company Information

Purpose: To maintain correct, public-facing company data and provide necessary documents for certification and partnership opportunities.

Click the Company tab next to the User tab to navigate to the company settings.

In the Company Details panel, click the pencil icon to edit key information:

  • Logo: Click the current logo to upload a new one.

  • Name, Registration ID, Address, About, Website, Email, Phone: Update these details. On the right, in the Company Documents panel, you can upload or manage Banners and Brochures.

Step 4 — Managing Preferences and AI Assistant Options

Purpose: To customize the interface features and define how the embedded AI assistant supports your compliance workflow.

Click the Preferences tab to customize system behavior and notifications. This page is divided into three main sections:

A. User Preferences

Toggle the switches to control the visibility of optional profile elements:

  • Welcome Section

  • Profile Completion

B. AI Assistant Options

These toggles control the specific functions of the CyberPass AI Assistant:

  • AI Relevance Check

  • AI Compliance Suggestion

  • AI Compliance Analysis Report

Step 5 — Customizing Notification Preferences

Purpose: To control when and how you are alerted by the system regarding opportunities, certifications, and vulnerabilities, and to set your preferred language.

Scroll down the Preferences page to manage which actions trigger a notification from the system. Notifications are grouped by category:

  • AI Assistant: Toggle notifications for Assessment Suggestion Available.

  • Certification Invitation: Invited, Status Changed.

  • Opportunity: Created, Invited.

  • Product: Created.

  • Proposal: Created.

  • Evaluation: Started, Expiration Update, Annotation Created.

  • Workspace: Invited, New Capability Added.

  • Vulnerability: Reported, Report Delivered.

Language Selection: The current language is shown by the flag icon in the top right corner. Click the flag to select from the available languages: English (UK), German, French, Japanese, Korean, or Chinese.

Key Notes

  • Passkeys provide phishing-resistant, passwordless authentication and are strongly recommended for securing vendor access to CyberPass.

  • Passkey setup after the first OTP login is mandatory; you must complete this step before you can continue using the platform.

  • If you change devices or browsers, you may need to use your stored passkey (via your device or account’s sync) or ask your admin to help you regain access if you can no longer authenticate.

Troubleshooting

Fix

I can't upload a new company logo.

Check the file size and format. Most systems restrict image files to specific types (e.g., JPG, PNG) and maximum sizes.

I'm still receiving emails for notifications I turned off.

Ensure you are on the correct Profile and that the corresponding notification toggle (e.g., "Opportunity: Created") is switched to the OFF position in the Preferences tab. Wait a few minutes for changes to take effect.

My address/phone number won't save.

Ensure all required fields (if any) are filled and the data is entered in the correct format (e.g., phone number should only contain numbers and standard characters).

I can't upload a new company logo.
