How a Lab Invites a Vendor to Start an Evaluation in CyberPass

This guide explains the end-to-end process of a Lab inviting a Vendor to CyberPass. You will learn how to send an invitation, how the Vendor accepts and creates their product profile, and how to track the status of these invitations to ensure a smooth certification kickoff.

Prerequisites

  • Active Lab Workspace: Exclusive to Lab workspace users in CyberPass.

  • Vendor Contact Info: A valid email address for the Vendor representative.

  • Evaluation Details: Knowledge of the Target of Evaluation (ToE) name and the specific certification scheme (e.g., EN 18031).

Step-by-Step Instructions

Step 1 — Initiate the Invitation

From the Lab sidebar, navigate to the Certifications tab. Click the Invite Vendor button in the top-right corner to open the invitation modal.

Step 2 — Fill in Certification Information

Enter the Vendor Email, a personalized Message, the Name of Evaluation Target, and select the Scheme and Level.

Note: The "Name of Evaluation Target" is strictly a label for the invitation at this stage; the actual Product profile will be created by the Vendor later.

Step 3 — Vendor Email Receipt

The Vendor receives an automated email. They must click the Start Evaluation link to be directed to the CyberPass login/sign-up page.

Step 4 — Accept Pending Invitation

Upon logging in, the Vendor will see the invitation under Pending Invitations on their Home dashboard. Click the Checkmark (Accept Invitation) icon under the Actions column.

Step 5 — Select Workspace and Create Product

The Vendor must select a team Workspace (for e.g. CP Manufacturer as shown in the below screenshot). If a team workspace doesn’t exist and the vendor would like to invite colleagues to a workspace, the vendor can click on the Workspace field and select + Add new in the bottom right of the dropdown menu. Then, proceed to fill in the required fields and click Save.

Warning: Do not select a "Personal Workspace" if you need to collaborate with colleagues, as this selection is permanent. If a mistake is made, a new invitation must be sent.

Step 6 — Define Product Details

In the Product field, if the product does not exist, click + Add new in the Product dropdown.

In the "Add Product" screen, enter the Name and Description. While fields like MUD and SBOM files appear here, only the Name and Description are mandatory for the initial onboarding. Once done, click Save

Step 7 — Finalize Acceptance (Standard or Prefill)

The Vendor can now finalize the invitation. They have two choices:

  • Standard Acceptance: Simply click Accept Invitation to start fresh.

  • Prefill Evaluation: Select a previous product/evaluation from the dropdown to automatically carry over evidence and documents from a previous evaluation to save time then click Accept Invitation.

Step 8 — Redirect to Evaluation Flow

Once accepted, the Vendor is automatically redirected to the Product Evaluation flow, starting with the Setup tab to begin the documentation process.

Step 9 — Lab Confirmation and Status Tracking

Once the Vendor accepts, the Lab receives immediate confirmation through two channels:

  1. Email Notification: An automated message confirming the Vendor has accepted the invitation for the specific product.

  2. Platform Dashboard: Within the Lab's Home menu, the invitation status automatically updates from PENDING to ACCEPTED.

Key Notes

  • Workspace Permanence: If a Vendor accidentally chooses a Personal Workspace, the Lab must send a new invitation, as this cannot be changed later.

  • Field Requirements: SBOM and MUD files are not required to accept an invitation but will be mandatory during the later evaluation stages.

  • Prefill Advantage: Using the prefill feature carries over all previously uploaded evidence, significantly reducing manual data entry for returning products.

I can't see the "Invite Vendor" button.

Ensure you are currently logged into a Lab Workspace. Standard manufacturer or personal workspaces do not have this permission.

The invitation status is still "PENDING" despite the Vendor saying they joined.

The Vendor must complete the full Accept Invitation workflow (Steps 5-7). Simply logging in is not enough to update the status.
